JOB TITLE: TRIO PROGRAM ASSISTANT

STATUS: COMMENSURATE WITH EXPERIENCE

STATUS: PT – 20 HOURS A WEEK TO START

SCOPE and FUNCTION:

Under the supervision of the Director, assist with program coordination and administrative tasks in support of The National Hispanic University’s Pre-College TRIO Programs.

 

DUTIES and RESPONSIBILITIES:

  1. Assists in the coordination of student identification, outreach, recruitment, and selection; provides administrative support to the recruitment and selection process.
  2. Serves as a resource to student, faculty, staff, parents, and others regarding NHU’s TRIO Programs.
  3. Assists in the collection of student academic information; records, compiles, and disseminates information to appropriate staff.
  4. Provides program and participant information to the Director and other staff; assists in the completion of reports; prepares supporting documentation.
  5. Assists in data collection, analysis, reporting, and monitoring of demographic and retention, graduation, and college enrollment information.
  6. Conducts research and gathers information relevant to the TRIO programs as assigned.
  7. Prepares a variety of materials including, but not limited to agendas, handouts, and applications; coordinate meetings; assists with conference details.
  8. Coordinates communication between program participants and parents and program staff.
  9. Assists in the planning and coordination of program academic and cultural events; collaborates with program staff to develop and schedule relevant events.
  10. Provides clerical and administrative support to the Director and other program staff.
  11. Attends meetings and represents the program as appropriate.
  12. Assists in budget preparation and budget monitoring.
  13. Collaborates with program staff to coordinates schedules; assists in program planning and implementation.
  14. Assists program staff in developing and maintaining relationships with target schools and local agencies and organizations.
  15. Assists in publicizing and promoting program events and activities to NHU staff, parents, target school personnel, and others.
  16. Perform other related duties as required.

KNOWLEDGE and ABILITIES:

Knowledge of:

  1. Office methods, practices, and equipment
  2. Record-keeping methods and procedures.
  3. Oral and written communication skills.
  4. Methods and practices of financial record keeping.
  5. Computers and commonly used application programs.
  6. Interpersonal techniques using tact, patience and courtesy.

Ability to:

  1. Learn, interpret, and apply laws, rules, regulations, and policies concerning program requirements.
  2. Meet schedules and time lines.
  3. Maintain confidentiality
  4. Understand and carry out instructions independently
  5. Prepare clear and concise correspondence and reports
  6. Analyze facts and draw logical conclusions.
  7. Establish and maintain effective work relationships with others.

EDUCATION AND EXPERIENCE:

  1. BA in a related field highly preferred.
  2. One year, two years preferred, experience in an academic program providing services to underrepresented students.
  3. Spanish bilingual abilities required.
  4. May be required to work weekends and evenings.

TERMS of EMPLOYMENT:

Position dependent upon continuation of grant funds.
